The Role

What You Will Own — Day 1

Patient Experience & Scheduling

• Be the first and last voice of Anodyne — every call, every arrival, every checkout
• Manage all inbound patient communication: phone, text, email, and online forms
• Schedule all appointments and manage same-day gaps proactively
• Greet patients by name; administer the comfort menu (beverages, noise-canceling headphones, weighted blanket)
• Collect co-pays and patient balances at time of service
• Send Google review requests via text on Day 3 post-treatment — 100% of eligible patients

Insurance & Revenue Cycle

• Verify insurance eligibility and benefits for all patients — minimum 48 hours prior to appointment
• Generate and communicate accurate patient financial estimates before treatment begins
• Submit all insurance claims electronically on the day of service — no exceptions
• Follow up on outstanding claims: Day 30 phone call, Day 45 escalation, Day 60 formal appeal
• Track A/R aging weekly and report proactively on any risk items

Referral Relations

• Acknowledge every incoming referral within 2 hours and confirm the patient’s appointment
• Send case completion reports to referring offices within 24 hours of each treatment
• Build and maintain the referral tracking database: source, volume, trends, and relationship health
• Coordinate Dr. Aziz’s outreach activities with referring dental offices

Operations & Treatment Presentation

• Facilitate the daily morning huddle and monitor schedule utilization
• Present financial options to patients following Dr. Aziz’s diagnosis (insurance, financing)
• Build the operational systems and workflows that incoming Phase 2 specialists will inherit

What You Bring

Required — Please Do Not Apply If You Cannot Meet All of These

• 3–5+ years dental front office experience — you must have personally done scheduling AND insurance verification AND patient financial conversations
• Insurance literacy: CDT codes, EOBs, deductibles, endodontic-specific benefit limitations, and dental claims submission
• Warm, natural phone presence — this will be assessed with a live call demonstration in your working interview
• Experience communicating with external partners such as referring dental offices, insurance representatives, or vendors
• Proactive, self-directed work style — you build processes before being asked; you do not wait to be managed

Preferred

• Bilingual English/Spanish or English/Arabic — priority consideration for the Bloomingdale, IL market
• Experience in an endodontic or oral surgery specialty practice
• Prior de novo or startup dental practice experience
• AADOM, DANB, or dental billing certification
• CareCredit or Sunbit patient financing experience

Compensation & Benefits

• Base salary: $26/hr – $33/hr based on experience, demonstrated scope, and bilingual ability
• Medical/Dental insurance: $500/month employer contribution toward your health premium
• Paid time off: 10 days Year 1, increasing with tenure

• Continuing education allowance: $1,500/year
• Uniform allowance: $200/year

• Formal Phase 2 compensation review: salary increases to Practice Manager band when growth milestones are met — this is documented in your offer letter

Your Growth Path

• Phase 1 (Months 1–12): Lead Practice Launch Coordinator — own all front-of-house functions
• Phase 2 Transition (Months 12–18): Office Lead — hire and train the specialists who take over individual functions
• Phase 2+ (Month 18+): Practice Manager — full operational oversight, Dr. Aziz’s operational partner, KPI ownership
• Phase 3: Director of Operations (multi-location expansion)
